Any personal information such as name, postal address, telephone number, and email address will only be used to provide a requested service and will not be disclosed to any other third party without your prior permission unless listed below or unless we are required to do so by law.

Applicant/Tenant: We will hold your data to provide letting services, and may share your data with associated services such as Right to Rent checks and referencing organisations and providing your name to your Landlord when arranging a viewing.

As a Landlord we may share your data with other property professionals including, solicitors, EPC providers, surveyors, contractors, Tenancy Deposit Protection services, referencing organisations, applicants viewing the property, general marketing and move-in/move-out updates. We may also use 3rd party software to provide these services.

As a Tenant we may share your data with other property professionals including surveyors, contractors, the Landlord of the property you are renting, general marketing and move-in/move-out updates. We may also use 3rd party software to provide these services.

We do not engage in pro-active marketing campaigns but may send out periodic newsletters to Landlords or Tenants.

Our lettings files will be kept of a period of 7 years as required for possible tax enquiries, Tenancy Deposit Protection enquiries and The Property Ombudsman.

We will remove all of your data (Landlords and Tenants) and cease to have any personal data 7 years after you have vacated the last property you rented from Paul Chillingsworth Homes or allowed Paul Chillingsworth Homes to let out on your behalf. So, if you were a Tenant that last rented a property from Paul Chillingsworth Homes before May 2017, all your data and personal details will have been deleted from our files, both hard copy and computer database and no record will exist. If you were a Landlord that last used Paul Chillingsworth Homes to let your property before May 2017, all your data and personal details will have been deleted from our files, both hard copy and computer database.

General Information:
Any non-personal information such as IP address, pages accessed, and files downloaded will only be used to determine how many individuals use our site, how many people visit on a regular basis, which pages are most popular, and which pages are least popular. This information doesn’t tell us anything about who you are or where you live, it is simply used to enable us to monitor and improve our service.

Any personal information submitted is treated in accordance with the Data Protection Act 1998 and the update of 25th May 2018 to the new GDPR.
